ADMIN / EXECUTIVE ASSISTANT TO PRESIDENT, CEO

Description 

We are an incredible family-owned company that has been in business for over 40 years. Located in Chatsworth, Felina is an innovative company that designs, manufactures, markets, and distributes a wide range of women’s intimate apparel and loungewear. 

The company is growing and we are looking for a number of positions including Administrative Assistant to CEO. 

In this role, you will have an important part in our ever-growing business in supporting our President, CEO. This is on site, fulltime position. 

Role and Responsibilities 

  • Organize and schedule appointments in outlook calendar: zoom calls/meetings, screen calls
  • Create and process P.O.’s: warehouse and factories, update P.O database
  • Write and distribute email, correspondence memos, letters, and forms
  • Assist in the preparation of regularly scheduled reports: sales/ ship/ open order/net sales
  • Develop and maintain a filing system: invoices, cost sheets 
  • Order office supplies and research new deals and suppliers 
  • Maintain contact lists 
  • Book travel arrangements: company and personal 
  • Provide general support to CEO and family members: pay bills, make medical appointments
  • Act as the point of contact for internal and external clients 
  • Liaise with senior administrative assistants to handle requests and queries from managers. 

Qualification & skills 

  • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant experience in purchasing/buyer 
  • Excellent math skills 
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work 
  • Attention to detail and problem-solving skills 
  • Excellent written and verbal communication skills 
  • Strong organizational skills with the ability to multi-task 
  • Able to maintain a high level of integrity and discretion in handling confidential information
