URBN: PAYROLL TAX & COMPLIANCE ANALYST

 

Reports to

Director, Payroll & HRIS

 

Overview

Responsible for all payroll tax activities, including compliance with local, state, and federal regulations, and liaisons with the service provider in the calculation and reporting of tax liabilities, in responding to questions and special requests from employees and regulatory agencies, in researching laws and regulations regarding taxes and payroll withholding procedures, and special reports for management.

 

Responsible for minimum wage, overtime and other local, state and federal wage and hour regulations in order to coordinate with brand and home office operations for compliance with such regulations.

 

Responsibilities

  • Responsible for reconciliations and balancing between third-party tax reports and payroll tax summary reports to ensure accurate monthly, quarterly, and year-end reporting. Maintain accurate records of quarterly and annual returns filed by third-party service provider or self-filed.
  • Handle prior-quarter and prior-year adjustments using service provider tools. Work with third-party service provider to resolve issues or create amendments.
  • Monitor notices from third-party service provider related to HR or payroll data issues requiring resolution. Respond to payroll tax notices from Federal, State, and Local agencies.
  • Respond to internal and external queries related to tax withholdings, W2’s, and tax elections. Handle W-2c adjustments through Social Security Administration Business Services.
  • Work with Corporate Legal and Tax departments to handle administrative tasks related to new tax jurisdiction setup.
  • Audit employee tax profile setup to ensure accuracy and compliance. Ensure uncollected taxes are collected from employees.
  • Responsible to administer multi state payroll tax data on payroll processing system; multi state tax compliance, reconciliation and penalty resolution.
  • Develop and maintain audit tools to be used by the Payroll Administrators for tax setup analysis
  • Provide training and support on tax related matters to other members of Payroll team as required
  • Research, summarize and communicate minimum wage, overtime and other wage and hour regulations, including periodic reporting and auditing of employee data to ensure compliance.
 

 

Education/ Qualifications

  • Bachelor’s Degree or equivalent experience (business, finance, accounting preferred)
  • 3-5 years of relevant payroll tax compliance experience, including experience with multi-state payrolls and related taxation issues.  Canadian payroll and tax experience a plus.
  • ADP and Kronos systems experience a plus
  • Solid analysis, research and audit skills and attention to detail and accuracy
  • Excellent computer skills including advanced MS Excel experience
  • Excellent written and verbal communication skills and ability to communicate with a variety of other functional areas
