The Personal Assistant is responsible for providing full cycle administrative and personal support to the Chief Creative Officer + Partner.  Position will primarily work out of the corporate office and the home of the CCO.

PRIMARY RESPONSIBILITIES/ACCOUNTABILITIES OF THE JOB:

  • Coordinate all aspects of personal life for CCO and their Partner
  • Proactively manage and prioritizing incoming and outgoing communications, including external mail, telephone calls, etc.
  • File and organize communications to ensure smooth and timely flow of information in and out of the office
  • Maintain all personal calendars
  • Manage personal finances, including timely payment of bills, rent, utilities, phone, etc. 
  • Walk and care for any pets (i.e. dog)
  • Ability to give suggestions and recommendations for NYC restaurant and events including museum, art galleries, exhibitions, auctions
  • Manage Smart home devices, including troubleshooting 
  • Coordinate international and domestic travel logistics including flight itineraries, hotel rates and reservations, car services, and international phone plans in accordance with personal travel preferences
  • Sets up daily personal appointments, including running personal errands
  • Research and coordinate special event production & management
  • Shop for personal items for CCO and household goods
  • Transition into additional roles as need arises
  • Communicate with household staff including driver, and housekeeper   
  • Wardrobe and personal care management: dry cleaners, tailor work etc.
  • Order and send personal gifts for friends, family, and colleagues
  • Wellness Management – medication supervision, scheduling doctors’ appointments
  • Liaise with building management, vendors and all other in-house appointments
  • Experience with moving estates and special handling
  • Experience with handling priceless art collections
  • Managing and delegating tasks to subordinate staff when requested
  • Other specific projects as assigned.

 

QUALIFICATIONS & EXPERIENCE:

Experience:   

7 years’ experience as a personal , preferably with experience in a creative environment and supporting a C-Suite executive. 

Education:

Bachelor’s Degree (or equivalent) preferred

Skills:                   

  • Poised and professional; experienced in working with high-profile clients in fast-paced environments where the utmost discretion and confidentiality are required
  • Must be proficient in working in environment with pets and children
  • Able to work both independently and as part of a team
  • Exceptional organizational skills and dedication to responsibilities; prioritization and efficiency
  • Detail oriented and highly organized with desire to maintain schedule, filing systems, calendar and scheduling
  • Tech and computer savvy; adept in both Mac and PC operating systems; mobile and smart phone technology; strong knowledge of social media platforms
  • Must be a master at multi-tasking and handling changing priorities while maintaining precise accuracy to detail.
  • Must have experience interacting with Senior Executives in a corporate environment and high profile external figures within the industry.   
  • Must be poised and able to manage under stress with minimal supervision
  • Excellent verbal and written communication skills, including ability to draft correspondence with minimal direction
  • Ability to work a varied schedule, including weekends and holidays
  • Must possess exceptional interpersonal skills
  • Must be proactive and resourceful in performing all tasks
  • Valid driver’s license, a confident driver
  • Valid US passport, willing to travel
