PAYROLL SPECIALIST

REPORTS TO: 

Senior Director, Financial Operations

 

BUSINESS/LOCATION: 
New York & Company- Finance

 


OVERVIEW: 
The ideal candidate is an individual who is flexible and committed to meeting the needs of our internal and external customers. This professional will also assist in establishing and controlling departmental systems and procedures. We need an individual who possesses excellent communication skill, detail orientated and a real “TEAM” player.

 

RESPONSIBILITIES:
• Liaison between NY&C and ADP Tax Services
• Review all tax payments for State, City and County withholding liabilities
• Prepare and interface files to/from Lawson and ADP
• Upload interface for all payments from ADP to GL and reconcile
• Prepare tax payments for Stock Options from Merrill Lynch
• Review 940 & 941 returns from ADP
• Review payments for occupational privilege withholding taxes
• Process company car usage for personal use
• Reconcile all weekly/monthly reports to ensure accurate reporting – research and resolve issues
• Assist with processing Brand Headquarters Payroll and Garnishments
• Audit the accuracy of departmental withholding rates 
• Implement procedures to increase the efficiency of the payroll department for tax withholding
• Reconcile weekly payroll tax withholding to ADP Reports
• Prepare monthly journal entries for interface into the general ledger system
• Prepare monthly G/L reconciliation schedules (BlackBooks)
• Assist Manager with the coordination of year-end and W-2 processing
• Coordinate system upgrades and tax rate changes from BSI to Lawson
• File quarterly work-site reports electronically
• Special projects

 

OTHER RESPONSIBILITIES:
• Work closely with payroll auditors paying approximately 500 stores weekly 
• Plan and organize work deadlines
• Responsible for extremely confidential and sensitive information
• Ensure that all internal controls and procedures are followed

Required Experience

QUALIFICATIONS: 
• 1-2 years payroll tax experience/knowledge
• Strong analytical skills and ability to independently problem solve
• Excellent organizational skills
• PC proficiency in Word and Excel – (Lawson knowledge a plus)
• Excellent communication and interpersonal skills
• Flexible work schedule during heavy volume period

• BA/BS Accounting
