Executive Legal Assistant - CALVIN KLEIN
The Executive Legal Assistant provides administrative support to the Executive Vice President and General Counsel.
PRIMARY RESPONSIBILITIES/ACCOUNTABILITIES OF THE JOB:
Daily Responsibilities:
- Monitor emails to ensure proper action is taken by the EVP General Counsel regarding requests, further correspondences, etc.
- Consistently review and maintain organization of emails sent to the EVP General Counsel
- Maintain and update EVP General Counsel’s task list on Outlook of new matters and requests; prioritize workload and provide reminders.
- Update licensing binders with any amendments, side letters, model contracts, etc. and forward them to the appropriate legal parties
Monthly Responsibilities:
- Print and organize invoices and legal bills for EVP General Counsel’s approval; work with appropriate outside firms in order to ensure timely payment.
- Submit expense reports through Concur for EVP General Counsel’s American Express corporate card and process receipts.
- Review archive emails inbox, remove spam and advertising emails
- Keep track of quarterly litigation reports, infringement claims, lawsuits, or any litigation matter.
Annual Responsibilities:
- Renew any memberships or import/export
- Book any travel required for business trips or annual meetings EVP General Counsel will be attending
Trademark:
- Sort and organize trademark updates from VP Licensing & Business Affairs
Other Key Responsibilities:
- Update contacts information in Outlook for EVP General Counsel with internal company cross-functional partners or external vendors or firms.
- Notarize any necessary document legalization
- Order office supplies through Office Depot for the department.
- Approve and monitor vacation and time off in Workday for legal department
- Assist with insurance claims
- Book car service for any executive transportation EVP General Counsel will be taking
QUALIFICATIONS & EXPERIENCE:
Experience: 4-6 years in previous role supporting legal executive; prior experience working in law office background preferred
Education: Bachelor’s Degree in related field
Skills:
- Excellent communication, interpersonal, & organizational skills
- Flexible to heavy deadline demands as well as handling various tasks
- Excellent computer skills – Microsoft Office, WordPerfect
- Possess strong follow through skills
- Knowledge of agreements (i.e. Talent, drafts, etc.)
- Revisions to contracts
- Highly organized and familiar with filing legal documents
- Flexibility with hours
- Tech-savvy (i.e. formatting documents & presentations)
