Executive Assistant
The Executive Assistant provides high-level administrative support to the C-Level Executive and VP’s by handling incoming informational requests and performing administrative functions such as receiving visitors, arranging conference calls, scheduling meetings and assisting with the team. Responsibilities:
- Act as the point of contact between the executives and internal/external clients
- Undertake the tasks of receiving calls, taking messages and routing correspondence
- Extensive Calendar management through outlook
- Answer phones and handle requests/queries appropriately
- Maintain departmental forms and information
- Manage and process monthly expense reports
- Coordinate and schedule meetings, offsite meetings and special events
- Oversee the scheduling for the team Conference Rooms
- Maintain organizational charts and departmental contacts
- Coordinate all room set-up/catering for key meetings
- Develop and carry out an efficient documentation and filing system
- Issue PO’s and process payment
- Manage travel and expenses Executive
- Order supplies for the team
- Complete ad hoc projects as they are assigned
- Handle high level, confidential information in a professional manner
Requirements:
- Minimum of 3-5 years of administrative experience supporting a C-Level Executive
- Highly proficient in Microsoft Office
- Organized and strong attention to detail
- Exemplary planning and time management skills
- Ability to multitask and prioritize daily workload
- High level verbal and written communications skills
- Discretion and confidentiality
- Ability to conduct oneself in a professional manner
