Major Responsibilities

 

The Executive Assistant provides day-to-day administrative support, as well as substantial special project support, and supports multiple Senior Executive leaders. 

 

Role responsibilities include:

  1. Answering phones, handling general inquiries, relaying messages to appropriate parties
  2. Managing Outlook calendar and coordinating meetings
  3. Running/printing out daily and monthly reports
  4. Ordering office supplies and maintaining inventory; maintaining office files and referencing materials
  5. Copying, faxing and distributing documents
  6. Communicating announcements, general event reminders, and policy changes to team
  7. Coordinating travel arrangements, preparing itineraries/agendas, and processing travel expenses
  8. Processing monthly executive business expenses
  9. Preparing and organizing vendor financial books for international travel
  10. Processing incoming invoices
  11. Assisting in planning budgets

Qualifications

Personal Characteristics

The successful candidate should be very organized and have the ability to manage a calendar.  They must have strong executive presence, business acumen, and the ability to quickly assess a new environment and develop solutions that support the business strategy, critical objectives, and cultural norms. The successful candidate will be a change agent who is flexible, resilient, and able to thrive in a dynamic, rapid paced environment. He/she will embody a culture of taking smart risks and innovating to win.

Professional Qualifications

  • Candidates should have a minimum of 2-3 years of Executive Assistant experience
  • Must be very strong in problem solving & project management
  • Strong attention to detail, organization, decision making ability & prioritization in a fast paced environment
  • Energetic, flexible, proactive and takes initiative
  • Good interpersonal and oral/written communication skills
  • Well versed with Internet and computer application skills: (Outlook, PowerPoint, Microsoft Excel, Word)
  • PowerPoint is particularly important for strategic decks and presentations

Educational Credentials

College Diploma is required, preferably in relevant discipline.
