ADMINISTRATIVE ASSISTANT - E-commerce Fashion House

Our client, an e-commerce Fashion house, is seeking a creative individual to join their team ASAP as an Administrative Assistant. The company has been around for several years, and they are rapidly growing. They specialize in flash sales for high end apparel, handbags, jewelry, luxurious beauty products and home decor. They are looking for somebody who can start right away on a Temporary or Temp to Permanent basis, and someone who is looking to grow within the company. The company exudes luxury, and someone out of a high end brand would fit in perfectly.

Position Overview: The corporate office is actively seeking an Administrative Assistant to support the Vice President of Retail. This Administrative Assistant will answer all incoming inquiries and support the VP in an administrative capacity. They are looking for a tech savvy Administrative Assistant who can pick things up quickly and be a great addition to the retail sector. Intense calendar management, expense reporting, traveling coordination, and other ad-hoc projects are some of the tasks that would be done on a daily basis.   

Responsibilities:

  • Manage the VP of Retail’s busy phone line directing clients to the appropriate outlets and taking messages when needed
  • Complex calendar management using Outlook to schedule all meetings (in house and offsite)
  • Expense reporting daily (mostly using Concur)
  • Work with travel agent to coordinate both domestic and international travel for high level meetings
  • Perform administrative functions (answering incoming phone calls, taking messages, compiling meeting minutes, etc.)
  • Perform Office Manager duties for the department (plan company outings and events, order all the kitchen supplies, coordinate with different vendors regarding ordering office supplies and retail supplies)
  • Complete a high volume of project work (will ultimately grow into another division within the company depending on performance)
  • Someone tech savvy who can input researched information into their internal database

Qualifications:

  • Strong internship experience out of a LUXURY brand is mandatory
  • 3-8 years of administrative experience (Front Desk Reception, Office Manager, Administrative Assistant, Executive Assistant, etc.)
  • Highly detail oriented, proactive, and reliable
  • College course load where strong excel and database management was utilized
  • System Savvy (Proficient/Advanced in Microsoft suite)
  • Someone who is not currently working who is available to begin ASAP
